How to store paper documents

Though many business documents are in digital form, most businesses also keep paper documents, many of which need keeping for a few years. Off-site storage is a good idea for archived documents. Storage facilities for documents are safe and secure, provided that a few precautions are taken.

Documents need to be stored in a place that is not too hot or subject to high humidity, as this could damage paper. If your documents are stored at our Merseyside Movers & Storers facility, we’ll make sure that they are not subject to extreme conditions.

Documents can be stored in boxes, bins or binders. Covering paper in plastic sleeves adds more protection. It is not advised to use PVC coverings for photos, as this could soften and yellow the images.

Keep cardboard boxes containing papers on shelves off the ground to avoid moisture. Alternatively, store documents in a metal filing cabinet that keeps them dry. Large format documents or posters can be rolled up, but should be clearly labelled with their contents.

Before storage, organize the documents in a structured way – by type, date or any other method that makes it easy to find individual documents. There will probably be documents that are no longer needed that can be thrown away or shredded.
